If you have an active workplace pension
- We inform NEST of the leaving employee
- Please take no action with your NEST workplace pension
- We will be stopping contributions for the leaver
- DO NOT cancel the pension payment mandate with your bank
- We report final contribution and inform NEST no further contributions due for this employee
If employing further staff
- We put your pension service subscription on hold until a new nanny is enrolled into your NEST workplace pension
- No contribution reports or contributions are made while you have no employees
If you are not employing further staff
- Please take no action with your NEST workplace pension.
- DO NOT cancel the pension payment mandate with your bank
- Nannywage Ltd pensions will inform NEST of final contribution details for your leaver and close your NEST workplace pension, which cancels your bank payment mandate
- Nannywage Ltd pensions inform The Pension Regulator you are no longer an employer for the purpose of Automatic Enrolment workplace pensions
If you are not employing further staff
- If you do not have an active NEST workplace pension
- Your nanny did not automatically qualify or opt-in
- Your nanny opted out
- Nannywage Ltd pensions inform The Pension Regulator you are no longer an employer for the purpose of Automatic Enrolment workplace pensions
If you are paying your employee REDUNDANCY pay, please enter in ANY OTHER PAYMENTS. Nannywage Ltd to calculate redundancy pay and we will get back to you to confirm figure.
Redundancy pay
If your employee has given notice to you, then you do not have any redundancy pay obligation to them, as it was their choice to leave your employment.
If you gave your employee notice then you may have an obligation to make a Statutory Redundancy Payment.
The employee qualifies for Statutory Redundancy pay based on age, weekly gross pay and number of complete consecutive years in your employment. The employee only qualifies for Statutory Redundancy Pay if they have worked for you for at least two years of continuous service and are an employee under HMRC PAYE. 3 years 9 months would be continuous service of 3 years for redundancy calculations.
At the time of writing
- Up to age 22. Half a week of pay for each full year of employment
- Aged 22 – 40 One week of pay for each full year of employment
- Over 41 One & half weeks of pay for each full year of employment
Statutory Redundancy Payment must be paid at the level of the National Minimum Wage for the weekly hours your employee has worked. It is against the law not to pay the National Minimum Wage.
A maximum of 20 years’ service is taken into account and there is a limit to a week’s pay for statutory redundancy purposes, Nannywage Ltd will calculate redundancy pay at the current HMRC weekly pay limit amount. This content is provided as general background information only.
PLEASE NOTE: It will take up to 10 working days to complete the leaver processing and P45 and post out to you and your employee, please complete and submit your leaver form ASAP.
PLEASE ensure you complete all relevant sections
- Inform us if you owe any holiday entitlement to the nanny
- If you require Nannywage Ltd to calculate the outstanding holiday entitlement answer YES to Nannywage Ltd calculating holiday and fill in the holiday questions
- If no holiday entitlement owed answer NO and skip past holiday questions
- Inform us of final salary amount. Please note: If you do not complete final salary we will take that as meaning normal salary for the pay frequency to the leaver date you have entered. Once we have processed a P45 any subsequent changes to the P45 will be charged at £40 inclusive of VAT per month
- Where you want the P45 sent (To you or direct to the nanny)
- YOU MUST complete current address of the nanny for Nannywage Ltd to include in the P45 details which are sent to HMRC
- It is your legal responsibility as an employer to provide a nanny with a leaving P45 and inform HMRC.
- Nannywage Ltd do this on your behalf once you confirm the final salary figure and complete leaving form
- Without confirmation we are unable to process your payroll, P45 and inform HMRC
- Without confirmation we will not know the correct salary amount and cannot calculate and process your next Tax & NIC due notice
- HMRC will issue you with a Warning notice of non payment / return or will fine you for late payment and finally start court recovery proceedings against you
- As you can see it is vital that you complete a staff leaving form ASAP
- Then if required confirm you agree the leaving payroll figures that Nannywage ltd have calculated on your behalf as requested so that we may proceed with the leaving process and ensure your HMRC compliance
- Nannywage Ltd send you leaver confirmation correspondence and our intentions regarding your end of year return to HMRC and if relevant HMRC PAYE scheme cessation date
Until you find further employees any unused subscription to Nannywage Ltd is on hold if your nanny leaves after 6 months your subscription is suspended and put on hold and whenever the next nanny starts in your employment the subscription resumes with first wageslip for the new nanny as subscription month number 7 ensuring you receive full annual subscription of 12 months regardless of the amount of tax years this takes to complete. If you instruct us to close your PAYE scheme Nannywage Ltd will inform HMRC and The Pensions Regulator that you are no longer an employer and file your End of Year Declaration.
We will write to you confirming all leaving procedures have been completed and with the correspondence we include a payroll form and contract of employment questionnaire for employment of a subsequent nanny.
A leaving P45 for your employee is a legal document that HMRC take very seriously.
You must ensure that your payments to a leaving employee are correct
You must ensure that a leaving employee receives all of their statutory holiday entitlements

Nannywage Ltd only post P45’s to UK destinations. If you or your nanny are moving abroad, please ensure leaver procedure is completed while still resident in the UK.
If you or your employee have already moved abroad at the time of us receiving leaver instructions we will e-mail leaver documentation to you and your employee.
